Executive Assistant – Private Equity

  • EA duties for the Execs including managing diaries and organising travel

Our client, a high performing and prestigious Private Equity firm, is looking for a fresh addition to their support team. We’re looking for someone who fits in well now but also can commit and grow with the business. You’ll enjoy the hard working and respectful culture of joining a top tier business.

You will already be working within Professional or Financial Services and looking for a new challenge. This is a very busy and fast paced role, with constantly changing agendas. Attention to detail is crucial as is a positive attitude. This role offers significant ownership, responsibility, and variety as you help to provide the administrative backbone and foundation to this high performing business.

 

Key responsibilities will include:

Diary management

  • Diary management
  • Scheduling and organising meetings (including teleconference and videoconferences)
  • Liaising with Portfolio Companies regarding scheduling board meetings and strategy offsites
  • Uploading board papers using Diligent
  • Execution of agreements using Docusign
  • Drafting professional emails, memos and communications
  • Maintain filing system of company records

 

Team support

  • Creating PowerPoint presentations for offsites, investor meetings and internal meetings
  • Assisting with Front of House cover when required
  • Assistance with event management and catering requests

 

Travel logistics and events

  • Coordinating event & travel logistics, including flights, transport and hotel bookings, booking event/meeting rooms and catering as required
  • Track business expenses and prepare expense reports

 

To succeed with your application, you will ideally have:

  • 5+ years of business/corporate experience
  • Highly polished communication skills, both verbally and in written form
  • Excellent writing skills, spelling, grammar and punctuation
  • Highly organised self-starter with an ability to deliver on tight deadlines
  • Enjoys collaborating with others and working in a team environment
  • Confident, friendly and professional
